1) About the service
DokBrief is an online service for preparing official letters and documents based on templates. In the MVP version, the service works without registration.

2) What data we process
We process only the data that you voluntarily enter into the document creation form, for example:
- sender’s name, address, and contact details;
- recipient details (e.g., employer/landlord/organization);
- dates, addresses, descriptions, and text fields;
- selected wording and document parameters.
3) Why we process this data
The data is used exclusively for:
- generating the document preview;
- creating a PDF at your request;
- providing download features and (optionally) creating a link to share the PDF.
We do not create a “document history” and do not maintain an archive of your documents in the MVP.
4) How preview and PDF generation works
- The document preview is generated in the user’s browser.
- When you click the “Download PDF” button, the generated PDF is delivered directly to your browser and is not stored on the server as a permanent file.
5) “Create a sharing link” feature
By default, the PDF is not stored.
If you click the “Create a sharing link” button, the service creates a temporary PDF file and provides a download link.
Important:
- the link is valid for 60 minutes (the page shows the message “The link is valid for 60 minutes”);
- anyone who receives the link can download the PDF while the link is valid;
- after the validity period ends, the file and the link are automatically deleted.
We recommend not posting such a link publicly if the document contains personal data.
6) Do we store the data you enter
We do not store the entered data as a separate “document text” and we do not link documents to a user profile (there are no profiles in the MVP).
Technical transfer of data to the server occurs only for PDF creation and lasts only as long as necessary to perform the operation.
7) Cookies and technical data
We use only technically necessary cookies (for example, interface language selection). Advertising cookies or analytics are not used without your consent.
The server may automatically process technical data:
- IP address,
- browser/device type,
- time of the request,
- visited page.
This data is used only to operate the website and protect against abuse and is stored for a limited period.
8) Sharing data with third parties
DokBrief does not send the created documents to your recipients. If you share a PDF with an employer/landlord/organization, you do so voluntarily and on your own initiative.
The service uses technical website components (e.g., Polylang and ACF) to run the interface. The content of your documents is not stored as a permanent archive.
9) Retention periods
- PDF via the “Download PDF” button: not stored on the server; delivered directly to the browser.
- PDF via the “Create a sharing link” button: stored for up to 60 minutes, then deleted automatically.
10) Security
We apply standard security measures:
- HTTPS,
- time-limited storage of temporary PDFs,
- automatic cleanup of temporary files,
- blocking indexing and direct access to the temporary documents directory.
11) Your rights and requests
Since documents and temporary files are automatically deleted in the MVP, the data may already be deleted by the time you contact us.
You also have the right to file a complaint with the data protection supervisory authority in your country of residence.
12) Policy updates
We may update this policy when adding new features (accounts, document history, paid features). The current version is always available on this page.
